Privacy Policy

1. The short version

Your documents are yours. Only your account can see them.
Files are uploaded over an encrypted connection and stored encrypted.
We never use your documents or chats to train AI models, and we don't let our providers do so.
You can delete any document, or your whole account, at any time.
We don't sell your data, and your documents are never used for advertising.

2. Who we are

AnyDocsAI.com, LLC ("AnyDocsAI", "we", "us") operates anydocsai.com and the AnyDocsAI service. We are the data controller for the personal data described in this policy. For the documents you upload, we process them on your behalf and on your instructions.

3. What we collect

Information you give us

Account information: your email address, name, password (stored only as a secure hash), and an optional profile photo.
Uploaded files: the documents and images you upload, and their file name, type and size.
Generated content: the text, Markdown and summaries produced from your files.
Chats: the questions you ask about your documents and the answers you receive.
Billing information: your plan and billing status. Card details are collected and stored by our payment processor (Stripe), not by us.
Support messages: anything you send us by email.

Information collected automatically

Usage data: how many documents you convert, which features you use, and errors that occur.
Device and log data: IP address, browser type, operating system, and timestamps of requests, used for security and troubleshooting.

4. How we use it

To provide the Service — storing your files, converting them, answering your questions, and showing your documents to you. (Legal basis: performance of our contract with you.)
To run your account and billing — sign-in, plan limits, payments and receipts. (Contract.)
To keep the Service secure — preventing abuse, fraud and unauthorized access. (Our legitimate interests.)
To improve the Service — using aggregated usage and error data, never the contents of your documents. (Legitimate interests.)
To communicate with you — service and account emails, and replies to support requests. We'll only send marketing emails if you opt in, and you can unsubscribe anytime. (Contract; consent for marketing.)
To meet legal obligations — tax, accounting and responding to lawful requests. (Legal obligation.)

We do not look at the contents of your documents or chats, except when you ask us to (for example, to troubleshoot a failed conversion), or when required by law or to investigate abuse.

5. AI processing

Converting a document and answering questions about it uses artificial intelligence. To do this, the relevant document content and your question are sent to our AI providers (Singlebase.io AI models), which process it only to return a result to us.

No training: your documents, generated Markdown and chats are never used to train, fine-tune or improve AI models — by us or by our providers.
Limited retention by providers: our AI providers are contractually limited in how long they may keep request data, and only for purposes such as abuse monitoring.
No automated decisions: we don't use AI to make decisions about you that have legal or similarly significant effects.

6. Storage and security

Uploaded files go directly from your browser to encrypted cloud storage over HTTPS. Account data, document records and files are stored with our infrastructure provider, Singlebase.cloud, and are encrypted at rest. Access is restricted to your account; within AnyDocsAI, only a small number of staff can access production systems, and only when needed.

Your sign-in session is stored in your browser in encrypted form and refreshed only while you're active. No system is perfectly secure, but we work to protect your data and will notify you and the relevant authorities of a breach where the law requires.

7. Retention and deletion

Documents: kept until you delete them or close your account.
Deleting a document removes the file, its Markdown, its summary and its chats from your account immediately, and from our backups within 30 days.
Closing your account deletes your profile and all of your documents on the same schedule.
Inactive Lite accounts: if a Lite account is unused for 24 months, we'll email you and then delete it and its documents if you don't sign in.
Logs: kept for up to 90 days for security and troubleshooting.
Billing records: kept as long as tax and accounting law requires, even after your account is closed.

We don't sell or rent your personal data. We share data only with:

Singlebase.cloud — authentication, database, file storage and AI routing that power the Service.
AI model providers (Singlebase.io AI models) — to convert documents and answer questions, as described above.
Payment processor (Stripe) — to process subscription payments.
Email provider — to send account and service emails.
Google (Google Analytics and Google Ads) — website usage data and ad-conversion measurement, as described under Cookies. Never the contents of your documents or chats.
Authorities — when required by law, or to protect the rights, safety and property of our users, the public or AnyDocsAI.
A successor — if AnyDocsAI is involved in a merger, acquisition or sale of assets, in which case this policy continues to apply to your data.

Each provider may use your data only to provide its service to us, under a written agreement that requires appropriate protection.

9. Cookies and local storage

Your sign-in session is kept in your browser's storage (encrypted IndexedDB, or session storage as a fallback) so you stay signed in. This is needed for the Service to work.

We also use Google Analytics to understand how visitors use our website (pages viewed, device and browser type, approximate location from IP address) and Google Ads conversion tracking to measure whether our ads lead to visits and sign-ups. These set cookies (such as _ga) and send usage data to Google, which processes it under its own privacy policy. They never receive your documents, Markdown or chats. You can opt out with Google's Analytics opt-out browser add-on or your browser's cookie settings, and manage ad personalization at adssettings.google.com.

Fonts are loaded from Google Fonts, which receives your IP address when your browser fetches them.

10. Your rights

Depending on where you live (for example under the GDPR, UK GDPR or California law), you may have the right to:

access the personal data we hold about you and get a copy of it;
correct inaccurate data;
delete your data;
export your data in a portable format (you can also download your Markdown at any time);
object to or restrict certain processing;
withdraw consent where we rely on it; and
complain to your local data-protection authority.

You can update your profile and delete documents from your account at any time. For anything else, contact us through our Support page. We'll respond within 30 days and may need to verify your identity. We won't treat you differently for exercising your rights.

11. International transfers

We and our providers may process data in the United States and other countries. Where we transfer personal data from the EEA, UK or Switzerland, we rely on appropriate safeguards such as the European Commission's Standard Contractual Clauses.

12. Children

The Service isn't intended for children under 16, and we don't knowingly collect their personal data. If you believe a child has given us personal data, contact us and we'll delete it.

13. Changes

We may update this policy. If a change is material, we'll notify you by email or in the app before it takes effect. The effective date at the top shows when it last changed.
